About the Role:
Reporting to the Chief Operating Officer (COO), the Executive Assistant will provide administrative leadership and support to the Chief Executive Officer (CEO) and the COO.
What You Will Do:
- Administrative Leadership & Support
- Manage the complex calendars of the CEO and COO, prioritizing requests and coordinating across departments and external stakeholders.
- Draft, edit, and prepare high-quality communications, presentations, reports, and other executive-level materials.
- Prepare for meetings: draft and distribute agendas; ensure participants have necessary materials in advance of the meeting; conduct research and prepare briefing memos; coordinate with internal and/or external partners; set up and maintain technology and/or space needs.
- Attend meetings, as needed: taking notes, action, and tracking follow-up on items post-meeting; archive notes for reference.
- Provide real-time support and anticipate needs to ensure both leaders are well-prepared for meetings and engagements.
- Coordinate and book travel and manage logistics for meetings, speaking engagements, and conferences as needed.
- Complete and manage expense reports.
- Operational and Strategic Coordination
- Support the planning and execution of Board and senior leadership meetings, including scheduling, materials preparation, and follow-up.
- Track action items and assist with project management related to organizational priorities and strategic initiatives.
- Coordinate logistics and maintain confidentiality for sensitive matters.
- Foster strong, professional relationships with staff, members, partners, and Board members on behalf of the Executive Office.
- Process Innovation & Knowledge Management
- Maintain and organize key executive files, decisions, and communications to support long-term institutional knowledge and continuity.
- Develop, build, and refine internal systems to improve efficiency, recordkeeping, and executive team operations.
- Consistently stay abreast of emerging technology, including artificial intelligence (AI) tools, to design, build, and refine effective and efficient methods to store, share, maintain, and easily access information and knowledge.
- External and Internal Communication
- Support internal communication flow between the Executive Office and broader staff.
- Represent the CEO and COO in professional communications with members, partners, funders, and external stakeholders.
- Cultivate relationships and maintain effective communication across departments and with the Board.
- Assist with drafting messages and talking points that reflect organizational tone and mission.
- Model and help cultivate a workplace culture grounded in respect, reliability, and equity.
- HQ Office Management
- Oversee day-to-day operations of the headquarters office, including supply management, facility needs, and vendor coordination.
- Serve as the primary point of contact for office space logistics, repairs, and services.
- Maintain a professional, welcoming, and well-organized office environment that supports both onsite staff and hybrid team and/or visitor operations.
- Coordinate scheduling and logistics for hybrid or in-person meetings with staff, volunteers, and/or visitors, including technology setup and hospitality.
- Manage general office inquiries and administrative support needs for staff working in or visiting HQ.
- 7+ years of experience with a minimum of 5 years of executive-level administrative experience.
- Demonstrated ability to manage multiple priorities with efficiency, composure, and attention to detail.
- High degree of discretion and judgment, especially when handling confidential and sensitive matters.

- Technologically fluent and comfortable with platforms such as Microsoft Office Suite, Zoom, Salesforce, and Monday.
- Commitment to and experience advancing diversity, equity, inclusion, accessibility, and belonging in workplace or community settings.
- Must be based in DC, Maryland, Virginia (DMV) area with an ability to work on-site (up to 70%) to adequately manage physical space.
- Ability to work outside of business hours, as needed, to accommodate special meetings, events, and peak project times.
- Working knowledge of nonprofit governance and membership-based organizations.

Location:
Yoga Alliance is a remote organization with staff across the country and with an office open and accessible to all employees in Arlington, Virginia within sight of the historic northwest region of Washington, DC.
*NOTE: This position is hybrid and will require the individual to be able to work in office up to 70% of the time.
Salary Range:
$80,000 - $100,000 (commensurate with experience). This position is a full-time, exempt position.
